Your pay and bill data stays on your computer. We never see it.

Any list with a pay rate and a bill rate per row works: placements, assignments, timesheets or a payroll register.

How the margin audit works

  1. Add your export

Any list with a pay rate and a bill rate per row works: placements, assignments, timesheets or a payroll register.

  2. Confirm the columns

We match your columns and you check them. Then set your target margin and burden.

  3. See the gaps

Every row under target, by client, recruiter and state, with the gap to your target in dollars.

When you want more than a tool

Fixing old rates is one way to move margin. New work is the other.

Why margin slips without anyone deciding it

Pay rates move, burden changes each year, and VMS fees come out of the bill. A contract priced well two years ago can drift below target with nobody noticing. Looking at one blended number hides it. Looking at every row by client and recruiter shows you where to act.

How to read the gap

The gap is the extra gross profit a row would carry at your target. It isn’t a loss, and it isn’t a recommendation to change any client’s rate. Some low-margin work is worth keeping for strategic reasons. The report shows you where to look, and you decide.

Check the privacy yourself

Wait until the page says it’s ready. Turn off Wi-Fi. Open your export and run the report. It still works, because the whole tool runs on your computer. Column choices are remembered in this browser, but never a value from your file.

What it does not do

  • Replace your books. It’s an estimate from your export, not your P&L.
  • Know your assigned SUTA or workers’ comp rates. Enter them for a closer number.
  • Compare you with other firms. It holds no benchmarks.
  • Tell you what to bill a client.

Staffing margin audit FAQ

Is my pay and bill data uploaded?

No. Your file opens inside your browser and never reaches Wavaron. Once the page says it’s ready, you can turn off Wi-Fi and it keeps working. Closing the tab clears it.

What file do I need?

A CSV or Excel export with a pay rate and a bill rate on each row. Hours, client, recruiter and state make the report more useful. If you have a markup column and no bill rate, it can work from that.

How is gross margin calculated?

Gross profit is billed minus wages, payroll burden and VMS fees. Margin is gross profit divided by billed. Overtime is paid and billed at 1.5.

Where do the burden rates come from?

From our bill rate calculator: 2026 federal figures and state starting points, checked October 25, 2026. Enter your assigned SUTA and workers’ comp rates for a closer number, or use one burden percent for everything.

What margin should I target?

That’s your call, and it varies by niche, contract type and client. Set your own target and the report follows it.

Does this replace my accounting system?

No. It’s an estimate from your export, not your P&L. Use it to find what to look at, then confirm in your own books.
