What we collect on this website and in our business outreach, why, who we share it with, and how to ask us to change or delete it.
Wavaron provides revenue infrastructure for staffing, recruiting and executive-search firms. We research hiring demand, rank opportunities and run the email and LinkedIn campaigns our clients approve. Our clients' recruiters make the calls and own the relationships. This policy explains how we collect, use, store and protect personal information on wavaron.com, in our business outreach and in the work we do for clients.
The short version
- We collect what you give us, basic site analytics, and professional contact details used for business outreach.
- We handle client data only on our clients' instructions, under a written agreement.
- We don't sell personal information, share it with advertisers or use it to train AI models.
- You can ask us what we hold about you, correct it, delete it or opt out of outreach at any time.
What we collect
When you visit the site
- Analytics: Vercel Web Analytics and Speed Insights count page views and measure page speed. They don't use cookies and don't identify you personally.
- Your browser session: the site keeps small notes in your browser's session storage, such as details you typed before opening the booking page, or whether you've already seen a prompt. They're cleared when you close the tab and aren't sent to us.
When you contact us
- Booking a call: your name, work email, firm, and the niche and market you tell us about. Bookings are handled by Cal.com.
- Emails and support: your messages and anything you choose to attach.
Business contact information
Like any business-to-business service, we and our clients research professional information about people at employers, such as name, job title, company, and work email or phone, together with public information about their company's hiring. It comes from public sources and licensed business data providers, and we use it to contact people about hiring and staffing in a professional capacity.
Data we process for clients
When a staffing firm works with us, we process the candidate, client and placement information it chooses to share, on that firm's behalf and only on its instructions. The firm controls that data. If you're a candidate or client of one of those firms, contact the firm first, or email us and we'll pass your request on. See Security and data handling for how we protect it.
How we use it
- to respond to you, run strategy calls and deliver our services
- to research and contact businesses that may benefit from our services or our clients' services
- to report results to our clients
- to improve our scoring using de-identified, aggregated patterns that don't identify any person or client
- to understand how the website performs, and to keep our accounts and tools secure
- to meet legal obligations and respond to privacy, legal and security requests
How we store it, and for how long
We don't run our own database. Information is stored in the business platforms listed below, which encrypt the data they store, and moves between them over encrypted connections. Accounts that hold client data use multi-factor authentication.
- Client data: kept while we work together, then exported to the client and deleted within 30 days of the engagement ending.
- Booking and email records: kept while they're useful for our relationship with you.
- Opt-out requests: kept so we don't contact you again.
- Billing records: kept as long as tax and accounting law requires.
Service providers
We share personal information only with the providers that help us run Wavaron, each receiving only what its job needs:
- Vercel: website hosting and privacy-friendly analytics.
- Cal.com: scheduling strategy calls.
- Google Workspace: email, documents and shared sheets.
- n8n: workflow automation.
- Anthropic and OpenAI: AI research, matching and drafting through API and business accounts.
- Clay and AI Ark: business contact research and enrichment.
- Smartlead and HeyReach: sending approved email and LinkedIn campaigns.
We may also share information when the law requires it, or to protect our rights and the safety of others. We don't sell personal information, and we don't share it for cross-context behavioral advertising.
Your choices
- Opt out of our outreach by using the opt-out in any email or by emailing us.
- Ask us to remove your information from our outreach and our clients' campaigns.
- Clients choose what data to share, can revoke access at any time and can ask us to delete their data.
Your rights
Depending on where you live, including the EU, the UK and California, you may have the right to know what personal information we hold about you, and to access, correct, export or delete it, or to object to or restrict how we use it. Email wasey@wavaron.com and we'll respond within 30 days, or sooner where the law requires. We won't treat you differently for making a request.
Children
Wavaron is built for businesses. It isn't intended for anyone under 16, and we don't knowingly collect information from minors.
Changes to this policy
We may update this policy from time to time. The date at the top shows the current version, and we'll tell clients about material changes by email.
